We’ve all accidentally moved or deleted a file we need. Not only is it annoying, it can be a very damaging mistake to make. The unauthorised deletion or moving of files is something that can be done by a member of staff without even realising, or even worse your file has been locked by a hacker!
As many of us have been working from home, we have all created files locally and onto our office systems without even thinking and have forgotten some of the golden rules when saving data. It’s important to always ask yourself where the data will be saved and will it be backed up.
A quick solution is to copy the old file, rename it and delete the un-required content. For one unlucky member of staff who was working from home, a lapse of concentration resulted in the accidental deletion of the entire client folder! Luckily the IT department could recover it but, if they couldn’t, the consequences could have been disastrous.
So how do you stop this from happening to your company? The simple solution is to work out what files employees have access to, and what access they really need. Restricting this access limits potential damage. A full back up system is essential for total security.
Here are our 5 top tips…
- Know exactly where you keep your data and emails, including any GDPR rules
- Verify backups on a daily basis
- Be able to restore back at least 4 weeks plus and keep monthly and year ends for added security
- Encrypt and control access to your company data
- Check your business continuity plan and test your recovery speed and business insurance cover
